Job Purpose

The Payroll Specialist is responsible for the accurate and timely processing of multi-state payroll, ensuring compliance with federal, state, and local regulations. This role serves as a subject matter expert in payroll operations and supports process improvements, audits, and cross-functional collaboration with HR, Finance, and external vendors. Performs duties necessary for the calculation of accurate wages and salaries of employees.

Key Responsibilities

  • Activities may include; distributing and preparing payments, benefits, taxes, and payroll deductions; sales incentives, and bonuses; maintaining payroll records.
  • Ensures calculations of gross to net payments of expenses related to expatriation.
  • Ensures the computing, withholding, and calculating of deductions associated with net pay is done properly, including federal and state withholding and unemployment insurances, as well as direct deposit information.
  • Process bi-weekly and weekly payroll for a large employee population with a high degree of accuracy
  • Maintain and audit employee payroll records including earnings, deductions, taxes, and direct deposit information
  •  Ensure compliance with applicable wage and hour laws and payroll tax regulations
  • Reconcile payroll reports and benefit deductions
  • Manage payroll adjustments including retro pay, and terminations
  • Support year-end activities including W-2 preparation and payroll audits
  • Partner with HR on onboarding, offboarding, and compensation changes
  • Respond to complex employee payroll inquiries and resolve discrepancies
  • Support system implementations, upgrades, and payroll process optimization
  • Maintain confidentiality of sensitive employee and company information

Experience Required

  • An Bachelor’s degree in Accounting, Finance, Human Resources or a relevant discipline.
  • A minimum of 8 years of relevant experience.
  • Experience with ADP payroll systems.
  • Experience with processing multi-state payrolls.
  • Strong knowledge of payroll taxes, garnishments, and compliance requirements.
  • Advanced Excel skills (VLOOKUP, pivot tables, reconciliations)

Preferred Qualifications

  • Experience with processing Canadian and/or union payrolls.
  • High attention to detail and strong analytical skills.
  • Ability to manage deadlines in a fast-paced environment.
  • Excellent communication and customer service skills.

Pay Transparency

​The annual salary for this role is USD $61,500.00 - $94,300.00 plus any applicable bonus (Actual salaries will vary and will be based on various factors, such as skill, experience and qualification for the role.)
