Job Purpose

The Global Travel & Expenses Specialist will be part of the Team responsible for the Governance of the end-to-end Travel and Expenses (T&E) process at CNH Industrial. The Team will manage a budget of approximately $1.5M of running direct cost + approximately $80M travel and non-travel-related expenditure.

The role involves:

  • having the visibility and the understanding of the full end-to-end process
  • managing in autonomy (but in coordination with the rest of the Team) the assigned global T&E sub-process, as well being key account for the assigned geographical region

It also involves working with the following CNH Departments:

  • HR for sharing the T&E policy, dealing with local work unions - work councils (in particular for travel allowances and taxable items), managing specific local policy exceptions.
  • PURCHASING for sharing T&E suppliers’ strategy, monitor and understand market dynamics, leverage volume discounts, manage long term contracts etc.
  • FINANCE to define and implement the most appropriate accounting flows, ensure the correct costs posting and allocation, employee reimbursement or deduction, cash advance management (where applicable), corporate credit card reconciliation, month/year end cost accruals, domestic and foreign VAT/GTS recovery etc
  • CSR DEPARTMENT to put in place the best practices to reduce, track, certify (and in some case compensate) CO2 emissions and any other CSR parameter to be compliant with regulations (i.e. latest CSRD regulation in EU or equivalent in the other regions). 
  • IT: to share requirements on On-Line Booking tools, Concur platform, Middleware platform (the middleware is the broker for several data flows from/to the several HR, finance, T&E platforms involved), Business Intelligence (Reporting), Virtual Payment Technology and others.
  • ANY OTHER DEPARTMENT: as all are potential travelers, delegates, approvers.

Key Responsibilities

  • Develop, maintain, and administer a Global Travel & Expense Policy that accommodates cultural and regional differences, with cross-functional coordination as needed. Here is key the interaction with the Regional T&E support team.
  • Provide administrative duties for Travel & Expense systems, including system maintenance, configuration, and updates.
  • Organize and coordinate global transformation program to make evolving the T&E ecosystem and/or to integrate new companies into the CNH T&E framework.
  • Manage all travel vendor provider relationships, operational issues, and programs, such as travel agencies, GDS providers, booking tools, and payment systems.
  • Ensure the end-to-end process from the moment a traveler decides to make a trip until the traveler reimbursement and post of the costs.
  • Monitor compliance and real time cost allocation (forecast vs actuals) in collaboration with Group Purchasing, HR Operation, and Finance.
  • Coordinate the most appropriate practices for the physical or electronic archive of travel (and non-travel-related) receipts, according to the local fiscal regulation and company archiving policies.
  • Work in close touch with Legal and Tax Department to evaluate to be compliant with any tax requirement (benefit in kind or other employee tax impacts, company taxation and deductibility of relevant expenses, VAT/GST management, etc.), in case also leveraging on external advisors when needed.
  • Organize and coordinate the team activities including external partners. Focus on continuous process improvement to decrease the CNH’s effort on transactional activities introducing the usage of Artificial Intelligence and Robot Process Automation. Focus on: Simplification and standardization.
  • Develop reporting capabilities to track the main KPIs both the T&E GBS, HR, Finance and the manager itself.
  • Facilitate support and assistance to employees in case of emergencies related to travel.
  • Ensure the security and health matters linked to travel are addressed in the policy and its implementation.
  • Maintain strong knowledge of industry best practices, emerging trends, and new technologies that bring enhanced efficiencies to CNH.
  • Develop and deliver traveler communication, training, and education, to ensure understanding of processes, procedures, and policy compliance.
  • Use strong communication, presentation, and influencing skills to present to key stakeholders and implement solutions.
  • Collaborate with IT to integrate and maintain the T&E middleware and related systems.
  • Ensure and enhanced employee experience for CNH’s travelers thanks to clear and lean T&E process and through new T&E platforms.

Experience Required

  • Bachelor's degree in Business Administration, Finance, Human Resources, Hospitality Management, Information Systems, or a related field
  • 3+ years of professional experience in Travel & Expense (T&E), travel management, finance operations, shared services, HR operations, or a related field.
  • 3+ years of experience supporting or administering Travel & Expense programs, processes, or operations

Preferred Qualifications

  • Working knowledge of SAP Concur, Amadeus, online booking tools, global distribution systems (GDS), corporate card platforms, or similar Travel & Expense technologies.
  • Involvement in global process transformation, systems implementation, company integration, or continuous improvement initiatives.
  • Oversight of travel suppliers, service providers, contracts, and vendor performance management.
  • Contribution to process optimization and operational excellence initiatives within a global environment.
  • Knowledge of travel industry practices and regional requirements related to employee travel, expense reimbursement, taxation, VAT/GST, record retention, and labor regulations.

Pay Transparency

The annual salary for this role is USD $63,750.00 - $97,750.00 plus any applicable bonus (Actual salaries will vary and will be based on various factors, such as skill, experience and qualification for the role.)

For roles open across multiple locations, the salary range indicated refers to the primary location. If a different location is considered, the applicable salary range will be communicated to candidates prior to the first interview.
