Job Purpose
We are looking for an Executive Assistant to support a C-suite leader, facilitating an array of operational and administrative tasks at a global and regional scale. Keys to effectiveness in this role are being proactive, organized, and analytical, while using strong business judgment and communication skills to interact with a variety of stakeholders. Expectation of complete confidentiality on all business matters. This position is on-site located in Oak Brook, IL.
Key Responsibilities
· Manage the executive's complex calendar, scheduling meetings across time zones and prioritizing critical engagements
· Coordinate domestic and international travel, including itineraries, accommodations, and expense reporting
· Support of executive purchase order management using tools such as SAP (supporting delegation of authority)
· Coordinate logistics of virtual and in-person engagement events including meetings, townhalls, conferences, seminar and other on/off-site events
· Serve as the primary point of contact between the executive and internal/external stakeholders
· Prepare meeting agendas, presentations, briefing materials, and follow-up action items
· Coordinate board meetings, investor meetings, and finance leadership meetings
Experience Required
· Bachelor’s degree and 4+ yrs of corporate administrative, executive administrative, marketing communications experience
· In lieu of Bachelor's degree, an Associate's or High School diploma with 8+ years’ of corporate administrative, executive administrative, marketing communications experience will be considered
· 3+ years’ direct senior management support (C-suite preferred) experience in a large global organization that includes the ability to effectively communicate and collaborate with a diverse range of people and job functions
· Proficient level experience in Microsoft Office products (PPT, Excel, etc.) and SharePoint
